Start with scope
Record billable properties, users, connections and essential functions. Ask every provider to quote the same scope and save dated terms. Separate annual commitments from monthly subscriptions.
Keyful’s calculation, without extra seats
Core: properties × €5 per month. Plus: properties × €7.50 per month. Both include unlimited users. For twenty properties and three people, Core costs €100 or Plus €150 per month, excluding tax. Adding two people does not change those totals. Moving to thirty properties gives €150 for Core or €225 for Plus.
Separate add-ons from activity costs
Marketing is planned at €2.50 per property per month: an extra €50 for twenty properties at launch. Advertising budgets and platform messaging fees stay separate. Keyful Cleaning at €29 per company is a product for cleaning companies; it is not required for cleaning coordination in the PMS.
Include the cost of transition
List exports, verification work, onboarding and any overlap between subscriptions. Check cancellation and data-export terms. Test your own procedure before selecting the lowest price.
